Welcoming Co-ordinator

The role of the Welcoming Officer is to ensure that visitors and new club members are made to feel welcome and given the opportunity to meet and interact with other club members and participate in club activities if they wish. The Welcoming Officer informs visitors of upcoming club activities.

People indicating that they would like to become a member or affiliate are referred to the Welcoming Officer, who:

  • has a chat with the person and asks that person to fill in a ‘Membership Form’.
  • Once the form has been completed, the grading section is removed from the sheet and handed to the new member who is told how apply for a grading if they would like to participate in the club's competitions. If he/she wishes to be graded in DPI by e-mail, then the grading form is kept for the Digital director who passes it on to the Scorer once grading is completed.
  • The welcome officer hands the top section of the grading form to the Treasurer with the subscription.
  • The Treasurer provides a receipt for the new member.

General Tasks on visitor’s first night

  • Welcome the visitor to the club.
  • Give the person a BCG Program and a ‘Welcome to BCG’ flyer
  • Ask that they leave their email and if the would like to sign up to BCG's email updates
  • Provide information about the meetings that the club holds, any upcoming events that may interest them and any other information that they may be interested in.
  • Direct the visitor to the
  • Announce the visitor at the start of the meeting.
  • Prepare a BCG Handbook and badge for the new member or a name badge for a new affiliate.

Tasks following a meeting

  • If they so requested, add the visitor's email to the recipients list for the email updates
  • Respond to enquiries made at the meeting
  • Make sure that a decent supply of visitors' information packs is maintained
  • What the WO does after a visitor has joined

    • Prepare a name badge for the new member or affiliate
    • Advise them that they are entitled to a free, hard copy of the club's handbook if they wish

    Tasks during the week following the meeting

    • A friendly phone call or e-mail to visitors asking if they have any questions following their first visit.
    • Phone new members and talk with them about their photographic interests and equipment. Let them know which members of the club are able to help them in the various fields.

      OR if there are a large number of new members from the meeting, merely send a ‘Welcome Letter’.
    • Send ‘Welcome Letter’ to all new members following their first meeting.

    Tasks at subsequent meetings

    • Welcome the new member / visitor.
    • Be there to assist if required.
